HOA Management Services: Frequently Asked Questions

What HOA management services does Sterling ASI provide?

Our full-service HOA management covers communications with owners and the board, assessment and fee collection, record-keeping for payables and receivables, operating budgets and monthly financial reports, financial and reserve planning, meeting support, routine site inspections, repair and maintenance coordination, and 24-hour emergency assistance. Payroll services are available as an option. For a closer look at scope, read what is included in a full-service HOA management contract.

What types of communities and properties do you manage?

We manage single-family subdivisions, master-planned communities, condominium and townhome associations, and other residential neighborhoods, along with commercial properties and retail centers. Each management plan is customized to the community, so a small townhome association and a large master-planned community get the level of service that fits them.

What is the difference between HOA management and property management?

HOA management, also called community association management, serves the association and its volunteer board: collecting assessments, enforcing the governing documents, running meetings, and maintaining common areas. Property management usually refers to managing a building or commercial site on behalf of an owner. Sterling ASI provides both. Our guide on community association management vs. property management explains where the two overlap.

Who makes the decisions, the board or the management company?

The board does. Your elected board sets policy, approves the budget, and votes on contracts and major projects. Our role is to advise the board, prepare the information it needs to decide, and then carry out those decisions day to day, so volunteers spend less time on paperwork and more time leading the community.

How do you handle assessment collections and delinquent accounts?

We collect all assessments and miscellaneous charges, deposit funds into the association’s account, and follow up on delinquencies according to the policies your board adopts. The board receives monthly financial reports so it can see exactly where the money stands. Learn more about how professional financial oversight protects HOA assets.

Will homeowners reach a real person when they call?

Yes. Calls to Sterling ASI are answered by a real person, not sent to voicemail, so owners and board members get help with account, maintenance, and community questions. For after-hours problems such as a burst pipe in a common area, we provide 24-hour emergency assistance. Residents can find quick answers to common questions on our homeowner and resident FAQ.

Does your team attend board and annual meetings?

We organize meetings and prepare and distribute agendas, notices, and minutes. Manager attendance at meetings is set by each community’s management agreement, so we spell it out during the proposal process. If your board is unsure how many owners it needs for a valid vote, see our guide to what counts as a quorum at an HOA meeting.

Which areas does Sterling ASI serve?

Sterling ASI is the largest locally owned community association management company in Houston, serving more than 200 communities from four offices. We manage associations in Houston, Kingwood, Katy, Sugar Land, The Woodlands, and Cypress.

How do we move our association to Sterling ASI?

Start by reviewing the notice terms in your current management agreement, then request a proposal so we can learn about your community and recommend a plan. Once the board approves, we coordinate the records turnover, banking, and homeowner notices with you. Our checklist for switching HOA management companies in Texas walks through each step. To get started, request a proposal or call 832-678-4500.
